Video Booking Requirement Settings (6 min. w/audio)

Overview
This functionality allows for job requirements to be behave as an optional condition on Scheduled Jobs (this does not apply to On Demand jobs). When a job requirement is marked as optional, this means that the requirement is only actively used as a filter for the job when the interpreter assigned to the job has the matching qualification. While there is no interpreter assigned to the job, the requirement will not be used to check for eligibility of an interpreter. If the interpreter who is assigned to the job does not have the matching qualification, then the requirement will be treated as if it is not on the job at all i.e. it is Inactive. This applies in real-time i.e. any time that the Job is viewed.

This applies anywhere that Requirements will be listed e.g. grids, exports, emails where the relevant snippet is used - example, Requirements(s) marked as optional will not appear on an Offer email, if an interpreter with matching Requirements(s) is subsequently assigned, the relevant Requirements(s) will be listed on Confirmation emails.

A requirement can only be marked as optional at job level, not booking level. Therefore the requirements must be overridden to be given the possibility of being marked optional.
Requirements automatically added from Customer, Consumers, References can all be marked as optional.

Assignment Criteria from Customer cannot be marked as optional as these are hidden and do not display on the Booking/Job.

If Override Requirements has been enabled and is subsequently disabled on a Job (regardless of the changes made during override), the Job will use the Booking Requirements as they always have in the past.

Job Page - Assignments tab

When the Override Requirements box is checked, the requirements from the booking are displayed here, and each will have a checkbox to allow the requirement to be marked optional and can also be deleted, changed, added to. The drop-down Action menu (gear button) is used to save the overridden requirements.

Assign Interpreter page

It is now possible to override requirements from the Assign Interpreter page. Once the override checkbox is changed, or any changes are made to the requirements from here, the change(s) is automatically saved to the booking and the page is refreshed to reflect this.

 

When the requirements are overridden an optional checkbox displays beside each requirement. The checkbox value is saved automatically and the page is reloaded to reflect this.

 

When a requirement is marked optional it will not be used as an eligibility filter for interpreters.

There is no override for Gender requirement on this page; this can be set on the Job Details page only.

 

As requirements are checked as optional or unchecked, the list of eligible interpreters will update to reflect those interpreters who meet the requirements that remain unchecked.

Exclude From Assignment Requirements

If any requirements are marked as "Exclude from Assignment", these requirements will still be displayed and can also be marked optional. Any requirement marked as Exclude from Assignment never acts as an eligibility filter and therefore should not be marked as optional; typically, these types of requirements are used as Rate Qualifications.

Note that if they are marked as optional, they will no longer function as rate qualifications and therefore the job will not pick up the intended rate associated with the rate qualification.

Matching Qualification

The interpreter is deemed to have a matching qualification if they possess the qualification associated with the requirement and that the qualification is currently valid.

Auto Offer

If a requirement is marked optional it will not be taken into account during auto offer.

Audit History

When an interpreter is assigned to a job, if they do not have any of the optional requirements on their interpreter profile in a valid status, this is recorded in the audit history of the job.

If an Interpreter meets the Requirement at time of assignment but the Interpreter’s Qualification subsequently becomes Inactive after assignment there will not be a record of this on any relevant assigned Jobs as there is no corresponding Job action at this time but the Requirement will then be Inactive on the Job.

Logs

Whenever a requirement is marked as optional (or subsequently made mandatory again), this is recorded in the logs.

Rates

Qualification Rates will be applied as normal when the corresponding Qualification Rates are set on the relevant Rate Plan, but when the Requirement is marked Optional, only if there is an Interpreter assigned with matching Requirement(s) i.e. the Requirement is Active as per above. As usual if there are multiple Requirements on a Job only 1 of these will apply from a rate perspective, this is normally the first Qualification/Requirement that is found on the Job and where this Requirement is active on the Job.

General

In all other places where we use/display requirements, it will only list an optional requirement if the interpreter assigned to the job has the matching qualification i.e. the Requirement is active on the Job.
E.g. Exports, grids, Emails with the relevant snippet. Therefore, the requirement will not display on the Manage Jobs grid if it has been marked optional.
