Rate Plan Associations Export Files

This video demonstrates the steps to export several files containing information about customer/interpreter rate plan associations as well as another export containing information about rate plan details (e.g. mileage, rates, language tiers, rate qualifications, etc.).

The exported rate plan information is used when using rate plan import files to add new data or revise existing data in rate plans.

Note - Point to Point mileage used in conjunction with a Mileage Threshold, the mileage is calculated using one-way mileage only, not round trip mileage. If the mileage threshold is set at 20 miles on the customer rate plan, and the round trip is 22 miles, mileage will not be billed as the one-way distance of 11 miles does not meet the 20 mile threshold.

Note - Distance Fees used in conjunction with a mileage threshold, the mileage is calculated using round trip mileage, not one-way distance. If the mileage threshold is set at 20 miles on the customer rate plan, and the round trip is 22 miles, the distance fee will be billed because the round trip meets the 20 mile threshold.

 

Mileage Settings and Calculations

Actual mileage is calculated at the time an interpreter is assigned to an in-person job, using the distance from the interpreter's address to the address of the service location. The round trip mileage calculation displays in Financial Review in the Mileage field. You can double-check the mileage calculation by clicking on the Incidentals tab and clicking the Get Mileage hyperlink. This displays a popup of the Google Map used in evaluating the route options. 

 

If the service location is updated after the interpreter is assigned, the Mileage field is not recalculated and will continue to display the original service location mileage. This original mileage will be applied to the invoice/payment rather than the updated service location mileage. This can be manually overwritten. 

 

Rate Plan using Mileage Threshold & Pay In Full Only

The Mileage Threshold in this example uses the round trip mileage amount. If the round trip mileage is greater than 22 miles, the interpreter will be paid for the full round trip mileage.

If Pay in Full is unchecked, the interpreter will be paid for any mileage traveled beyond 22 miles.
