Track Travel Time Across Rate Zones (6 min. w/audio)

Track Travel time captures the Interpreter's Outbound & Inbound time for travel to-from a Job, i.e. the time that they depart and return from a Job. Using this setting adds travel time fields on the Job Close screen; the Interpreter is required to enter this information when Closing an in-person job for the purposes of financing travel time for the Job or to provide departure and arrival timestamps for reporting purposes. 

Remote service type jobs do not display the Track Travel Time fields. 

When this is enabled, it applies to all interpreters and all customer in-person jobs.

Reports: The information is available in the following exports: 

  • Booking Export - select the parameters to include in the export (e.g. Interpreter Departure Time Outbound)
  • Financial reporting Export Invoices Expanded (full details)

Set up Track Travel time

Go to Admin > Customers > select the appropriate Customer on the left hand side > General Configuration tab > Customer Portal section > check the box 'Track Travel Time' > click the blue Save Changes button.

Set up Finance Travel Time within Rate Plans

On the Customer and/or Interpreter Rate Plan > General tab > check the box Split Charges - this will ensure that the correct travel rate is used according to the relevant Rate Zone that the travel took place.

In the Billing Hours section select Use Travel Rate for Bill Hours Using - this will provide a Travel Rate (per hour) field on each service rate on the Base Rates or Language Tiers tab.

Additional options are available on the General page of each rate plan:

  • Travel Time Increments? Flag to turn on/off the travel time increments.
  • Travel Time Increments Billing Units (minutes). Field to define what increment of time travel time is tracked in. Example: Entering a 1 would bill/pay travel time in 1 minute increments. 

If travel time increments are not set, Billing increments defined either on the General page or at each service level are applied. 

 

Interpreter Job Close

The Interpreter Job Closing screen will display Outbound Departure Date/Time, Outbound Arrival Date/Time, Inbound Departure Date/Time and Inbound Arrival Date/Time fields for in-person jobs only, as noted below.

Enable Contact Arrival Date Tracking on Job Close

This setting allows you to capture the Interpreter's Arrival time to a Job. Using this setting adds the Arrival Date / Time fields on the Job Close screen; the fields default to the expected start date and time. The Interpreter can modify the arrival date and time as needed. 

Reports: The arrival date and time are included as parameters on the Booking Export only.

Set up Enable Contact Arrival Date Tracking on Job Close

Go to Admin > Company > Configuration tab and scroll down to the Closing Configuration section. Check the box for this feature and Save.

Interpreter Job Close

The Interpreter Job Closing screen displays the Arrival Date / Time fields, auto-populated with the expected start date and time.
