Rate Plan - Bill Actuals Setting

Summary:

Bill Actuals can be found on the General page of any rate plan.

If this is checked, the actual duration is billed/paid as long as both of these conditions are met:

  • The job duration is greater than the minimum duration
  • The job duration is less than the originally scheduled (expected) duration.

If Bill Actuals is unchecked, it will always bill/pay the full scheduled (or expected) duration.

Expected duration is the duration that the job was initially scheduled for.

Actual duration is captured at the time the job is closed.

Examples: 

Bill Actuals is Checked - The job has been scheduled for a 4-hour duration. The job ends 1 hour early. The invoice displays the actual duration of the job captured at closing, (12pm - 3pm). The actual duration of 3:00 hrs is displayed and billed.




Bill Actuals is unchecked - The job is scheduled for a 4-hour duration but ends one hour early. The job bills for the full scheduled (expected) duration and displays that as the duration. Note that the actual time of the job displays on the invoice as well.

Conclusion:

  • The minimum duration will always be paid even if the job actual duration is shorter than the minimum duration.
  • The scheduled (expected) duration of the job will be paid if Bill Actuals is UNCHECKED and the job runs shorter than the expected duration but longer than the minimum duration.
  • If the job runs longer than the expected duration, the job will bill/pay the actual duration
