Billing Hours setting on Rate Plans

The Billing Hours dropdown list is used to define the hourly rate billed/paid for incidentals. This is found on the General tab of each rate plan. 

The default setting Choose a Rule applies the same rate per hour amount defined on each service type to any hourly-based incidentals.

Example: Face to Face hourly rate pays $25/hr. Misc. hours incidental pays $25/hr.


Use Average applies an average of the hourly rates from each rate zone to any hourly-based incidentals. Must also have Split Charges checkbox checked on rate plan. 

Example: Face to Face hourly rate pays $30/hr. in Standard Rate Zone and $60/hr. in Premium Rate Zone. Job starts in Standard zone and ends in Premium zone. Misc. hours incidental pays $45/hr.


Use First applies the hourly rate from the first rate zone that the job starts in (if the job crosses 2 rate zones)

Example: Face to Face hourly rate pays $30/hr. in Standard Rate Zone and $60/hr. in Premium Rate Zone. Job starts in Standard zone and ends in Premium zone. Misc. hours incidental pays $30/hr.

 

Split similar to Use Average, applies the hourly rates across two zones divided by 2. Must also have Split Charges checkbox checked on rate plan. 

Example: Face to Face hourly rate pays $30/hr. in Standard Rate Zone and $60/hr. in Premium Rate Zone. Job starts in Standard zone and ends in Premium zone. Misc. hours incidental pays $45/hr.

 

Use Standard applies the hourly rate from the Standard Rate Zone to any hourly-based incidentals regardless of which rate zone the job takes place in. 


Use Flat applies the flat rate dollar amount that is entered into the next field, Bill Hours Flat Rate, as the per-hour rate to pay.

Use Travel Rate Select this option and Save rate plan. The Travel Rate (per hour) field displays on each service on the Base Rates tab and Language Tiers tab and defaults to zero. An hourly rate is then entered on each of the services as needed, and applies this hourly rate to any hourly-based incidentals. The hourly travel rate that the job starts in will apply across all zones.

Alternate option for travel rates: Split Charges with Use Travel Rate Splits the hourly rate for incidentals such as when Travel Time crosses from the Standard rate zone to the Premium rate zone, the travel time calculates the rate of pay for each zone. 

Note: The Track Travel Time flag must be enabled on each customer that will use this feature (setting on Admin > Customers). The interpreter will be required to enter Outbound Times and Inbound Times for each job at the close of the job, or the information will be entered during Financial Review.

Travel Time is then calculated separately if travel takes place in two different rate zones. 

Example: Interpreter travels in Standard zone to the job and travels home in the Premium zone.

Note: Any other hourly-based incidentals added will use the hourly rate defined in the zone that the job started in.

Troubleshooting:

If Use Flat is selected and no dollar amount for the flat rate is entered in the Bill Hours Flat Rate field, an error will display at the time of Financial Review when previewing an invoice/payment, or during invoice/payment creation. To resolve this error, add the dollar amount to the Bill Hours Flat Rate field on the corresponding rate plan, and save the rate plan.
