Customer and Bill To fields

Where are these fields visible?

  • The Job Details tab of any job displays both.
  • The Financial Review grid displays the Customer (Bill To) field by default. 
  • The Video and Voice Request popup window displays both the Customer and the Bill To fields when placing an on-demand call via the Customer portal. The Bill To defaults to the Customer name and can be changed on a per-job basis as needed.

Customer This is the customer selected for the job itself. The Client, Requestor and Location fields are associated with this Customer.

Bill To This defaults to the Customer selected. Another customer can be selected by typing in a customer name or selecting from the dropdown. The selection will update both Bill To fields on the Job Details page (the Booking details section at the top of the page and the Appointment Details section in the Reference field area of the page). 

If an agency is not using the Insurance Type field, no Insurance Company section or additional Appointment Details Bill To field will display on the Job Details page.

Where does the Bill To information get created? 

Create a new customer via the Manage > Create New Customer menu. This customer profile can be used for both the Customer and the Bill To field, or it can be used for the Bill To field only. See use case example below. 

Customer Insurance Type

This field is available on any customer profile via Manage Customers. The dropdown list can be customized by contacting the II Support team and putting in a request for this to be done. 

This information is available for reporting purposes via the following exports:

  • Manage Customers > Export > Export Customers
  • Manage Jobs > Booking Export > select this attribute to be included in export
  • Export Invoices & Payments Expanded > Full Details in AR and AP exports

Any customer profile who has an Insurance Type defined, shows up in the Bill To Customer: suggestion window in the Insurance Companies section:

Customer Portal

In the Bill To field only, when creating a new job, this field defaults to the Customer selected. The requestor can click the dropdown and see any other customer name who has an Insurance Type defined, regardless of whether the requestor is associated with that other customer or not. This is so that they can select an insurance company Bill To if necessary. The requestor cannot select any of the Insurance Type customers in the Customer field.

Use Case Examples

Create a customer called Aetna. Enter in Billing Information details. It is not required to create a Client or Service locations if the customer profile is used only for Bill To purposes. 

A group of medical customers submit invoices to Aetna. As jobs are created, Aetna is selected for the Bill To field. 

When jobs are processed, the invoice is created and submitted to the Bill To entity (Aetna).

 

Notes

If a job is used to create a duplicate, follow up or recurring series of jobs, the Customer and Bill To of the original job will be copied over to the new job(s).
