Deactivate versus Delete

Can I delete a user profile, a customer profile, or a job? 

The answer is, sometimes. 

Delete a Job

You can delete a job from any Action drop-down menu that displays the option Delete with the following exceptions:

You cannot delete a job that has been entered into a payment or an invoice. Even if the job is removed from the invoice/payment, etc. the database prevents job deletion to avoid records with missing data. This is an example of the message that displays.

You cannot delete an on-demand job (OPI or VRI). The database prevents job deletion to avoid records with missing data. This is an example of the message that displays.

Note Once a job has been deleted, it cannot be recovered. There is no audit history to indicate who took the action of deleting the job.

This message indicates that the job has been deleted and the system can no longer find it.

Delete a User Profile

Although the Delete option displays for Interpreter and Consumer profiles, the majority of the time the profile is unable to be deleted but can be deactivated. 

Interpreter / Contact

If the user profile is newly-created in error, the profile can be deleted. Once the profile is associated with bookings, rate plans, rate zones, etc. the database prevents profile deletion to avoid records with missing data.

The profile can be deactivated. From Manage Contacts, deactivate the Interpreter by clicking on the green More button dropdown menu and selecting Change Contact Status. Select Inactive at the next screen.

Consumer

If the user profile is newly-created in error, the profile can be deleted. Once the profile is associated with bookings, rate plans, rate zones, etc. the database prevents profile deletion to avoid records with missing data.

From Manage Consumers, deactivate the consumer by deselecting this checkbox on their profile. Save:

Requestor

There is no delete option for requestor profiles. To deactivate, uncheck the Active checkbox on their profile from Manage Requestors. Save.

Internal Agency User

There is no delete or deactivate option for internal users. From User Management, the user profile can be modified as follows: Uncheck Account Enabled and all Configuration permissions. Modify the Email address to a false placeholder address. Save. 

Customer

If the customer profile is newly-created in error, the profile can be deleted. Once the profile is associated with clients, service locations, bookings, rate plans, rate zones, etc. the database prevents profile deletion to avoid records with missing data.

From the Manage Customers profile on the General information tab, deactivate the customer by selecting Inactive on this dropdown menu. Save:

Client

There is no delete option for client profiles. Deactivate by clicking the checkbox to the left of the Client name on the list at the bottom of the page; this populates the client data in the fields above. Uncheck the Active checkbox and click the Save button below the client data fields

Service Location

There is no delete option for service locations. Deactivate by clicking the checkbox to the left of the Service Location name on the list at the bottom of the page; this populates the service location data in the fields above. Uncheck the Active checkbox and click the Save button below the service location data fields.
