From the Manage Jobs grid, filter as needed and select the jobs that you want to take the bulk action on.

 

Bulk Action Menu - Send Offers will send out the job offer email to all eligible interpreters for each job selected; it is not possible to pick and choose from the Interpreter Assign list. This bulk offer is available for jobs in the New, Open and Offered status. Once the offers are sent, the job status will update to Offered, if not already in Offered status.

Email Format:

This email will use the digest format if digest is enabled on the Booking Request email template, and if there are multiple job offers for the same interpreter. Otherwise, the email format will display a single job  offer. 

 

Bulk Action Menu - Send Job Status Update will send the Job Status Update email template. Please note, this is NOT the Important Booking Update notification. The email is sent to the Requestor email and any cc/bcc addresses specified in the Customer or Company settings and any additional manually entered email addresses prior to sending via the bulk action. 

Email Format:

This email uses the single job format, not the digest format.

 

Bulk Action Menu - Send Customer New Job Email will send the New Job Request email to the Requestor.

Email Format:

This email typically uses the single job format. If the digest format is enabled, the email will be sent in digest format if the notification is for the same requestor. 

 

Bulk Action Menu - Send Email Confirmations only sends the confirmation email, it does not update the status of the job. You can choose whether you want to send the confirmation email to just the interpreter, just the customer, or both. 

Email Format:

This email will use the digest format if digest is set up on either the customer and/or interpreter confirmation email template, and if there are multiple jobs for the same interpreter or multiple jobs for the same customer. Otherwise, the email format will display a single job per email sent. 

 

Bulk Action Menu - Send Ad Hoc Email allows the user to send a bulk email to a specific email address that is manually entered in the "To:" field (single address only), or to one of the recipients associated with the jobs (e.g. assigned Interpreter(s) or customer(s)) by selecting that recipient category from the dropdown Recipient list. This is an either/or action; the "To:" field displays as blank if selecting from the Recipient list. 

The sender can type in a custom message that applies to all jobs in the bulk send, or select from the "Load Template" list to send a template such as the Interpreter Upcoming Booking Reminder. 

Email Format:

This ad hoc email uses the single job format, never the digest format, even if the digest format is enabled on the email template itself.

Bulk Action Menu - Confirm Jobs will update the status of the job to Confirmed and will send the confirmation email IF the agency has the setting to send confirmation email when the status of the job moves from Assigned to Confirmed. This will send the confirmation to both the interpreter and the customer. To check the setting noted above, go to the Admin menu > Company menu > Notifications tab

If the other checkbox is used, Send Confirmation Emails on Assignment, the email confirmation will not be sent out when using the bulk action Confirm Jobs. This is an either/or selection to send out confirmation notifications; it is not recommended that both boxes be checked.

Email Format:

This email confirmation uses the single job format, never the digest format for both interpreter and customer even if the digest format is enabled on the email template itself.

 

Sending Notifications via the Action Dropdown menu 

Note: If an interpreter is assigned multiple jobs in a Recurring or Follow-up series under one Booking ID and the user selects Send Interpreter Confirmation via the Manage Jobs or the Recurring tab dropdown Action menu, the confirmation email is sent for that job only, other jobs that they are assigned to in the series are not included in the email. Only the Bulk Action Send Email Confirmation option sends the  confirmation for all assigned jobs in the digest format (if digest is set up on the template).

 

Bulk Confirmation email behavior when assigning 1 interpreter to a recurring/follow-up series of jobs from the Assign Interpreter page

These workflows only apply when assigning 1 interpreter to a recurring series.

Option 1 - The company notification is configured to send the confirmation email at the time the interpreter is Assigned to the job

From the Assign Interpreter page of the any of the jobs > click the orange dropdown next to the name of the interpreter who will be assigned to all of the jobs in the recurring series and click Assign

At the popup window, select Assign Interpreter to this job and all unassigned jobs in this recurring booking. Confirmation emails are sent to both interpreter and customer for each job individually, not in the digest format

From the Manage Jobs page use the bulk action to confirm all of the jobs as needed

Option 2 - The company notification is configured to send the confirmation email at the time the job is set to Confirmed status

From the Assign Interpreter page of the any of the jobs > click the orange dropdown next to the name of the interpreter who will be assigned to all of the jobs in the recurring series and click Assign

At the popup window, select Assign Interpreter to this job and all unassigned jobs in this recurring booking

From the Manage Jobs page use the bulk action to confirm all of the jobs, this triggers the confirmation email sending to the interpreter and the customer for all jobs set to confirmed status if the confirmation email template is set up to use digest format.
