Video Point to Point Mileage Example

By default, when billing or paying mileage, the mileage is calculated from the interpreter's home or main address on the interpreter profile to the service location of each job and then back home again. 

Point to Point (P2P) Mileage is a different way to pay interpreters and bill customers for mileage traveled between jobs throughout the day.

Using this option, the interpreter is paid for mileage to the first job of the day from their home address, and then is paid mileage traveled between jobs until the end of the day, when they are paid mileage back home. Additionally, the time duration between jobs is used to determine whether the interpreter drove directly from one job to the next, or drove from one job back home, and then from home to the next job based on the time in between the two jobs. 

Note - Point to Point mileage used in conjunction with a Mileage Threshold, the mileage is calculated using one-way mileage only, not round trip mileage. If the mileage threshold is set at 20 miles on the customer rate plan, and the round trip is 22 miles, mileage will not be billed as the one-way distance of 11 miles does not meet the 20 mile threshold.

 

Point to Point Mileage Setup

On Rate Plans (Customer and Interpreter) - Enable 'Finance Mileage Automatically' and 'Point
to Point Enabled' checkboxes, and enter a length of time in the 'Point to Point Enabled' field in minutes.

In this example, the Interpreter drives from their home in Santa Rosa to San Francisco for Job A for customer San Francisco General Hospital. 

Duration of time between jobs

The duration between jobs is calculated using the Actual End Time of Job A and the Scheduled Start Time of Job B. If Job A actual end time is shorter or longer than the scheduled end time, the P2P calculation will adjust accordingly. 

 

Canceled Jobs - Is mileage billed/paid? 

Mileage is billed/paid for canceled jobs in the following scenarios:

  • The job is invoiceable/payable and the interpreter takes the action to cancel the job. This is applicable if the interpreter arrives to the job and the job is canceled (e.g. consumer no-show). The system applies the mileage as it is implied that the interpreter drove to that job. 
  • If the job is canceled by the scheduler instead of the interpreter AND the interpreter also marks the job as Closed, this does not update the job status from Canceled to Closed, however the system applies the mileage based on the interpreter marking the job as closed. In this case, it is recommended to instruct interpreters that they do not need to take any further Job Close action on canceled jobs in their queue. 
  • If the job is marked as canceled by the scheduler or other internal agency user, and no other action is taken on the job to mark it as Closed, no mileage will be applied to the job. 

 

Setting a monetary cap on mileage billed/paid

In some cases, there may be need to set a dollar amount minimum or cap on mileage billed or paid based on customer contracts. This video shows how to set that up whether using regular mileage or P2P mileage functionality.
