Document Uploads and Visibility in Interpreter Intelligence
Interpreter Intelligence supports document uploads at both the Job Level and Booking Level for a variety of audiences, including Internal Users, Customers, and Interpreters. This article explains how documents behave depending on their upload location, file type, and audience.
NOTE: Uploaded documents are only visible on the computer. They are not visible on the mobile app. We suggest storing the document on a shared drive and pasting a link to the document in either the Appointment Details or Job Details note fields. The interpreter can then access the document via the link on their mobile device.
📚 Booking Level vs. Job Level
Booking Level refers to one or more related jobs (e.g. recurring, follow-up, or team jobs) under one Booking ID. Job Level refers to a single, specific job within that booking.
- Documents uploaded at the Booking Level are visible across all jobs in that series.
- Documents uploaded at the Job Level are only visible on that specific job.
Note: Signed Verification of Service (VoS) forms can only be uploaded at the Job Level. Attempting to upload them at the Booking Level will trigger an error.
📤 Uploading a Document
- Navigate to the Job Details page.
- In the top right corner, you’ll see both the Booking Number and Job Number with an Add Document option under each.
- Click Add Document under the appropriate level and browse your computer to upload a file.
📁 File Type Permissions
All users can upload any document type. However, visibility of uploaded files depends on their file type and the viewer’s role.
For example, an interpreter can upload a Receipt and it will be visible to the agency and the customer but not to the interpreter. At the time the document is uploaded, the interpreter will see the item in the list of Documents. As soon as the page is refreshed, the document is no longer visible in the interpreter portal.

There is no Audit History information when a document is uploaded, viewed, downloaded or deleted.
🔗 Linking Documents in Templates
While you cannot attach a document file directly to a template, you can insert a clickable link using a code snippet. For example:
${booking.getDocumentLinkByDocumentType("misc", "Click here to view")}Note: If multiple documents of the same type exist, this snippet will link to the first uploaded document of that type. You cannot link to multiple uploaded documents with the same document type (e.g. misc).

🧾 Attaching Receipts to Invoices
Receipts attached to incidentals are handled separately from documents in the Job Details panel.
- One receipt can be uploaded per incidental.
- These receipts do not appear in the Documents sidebar.
- When sending an invoice, users have the option to include receipts as a zip file attachment.
